Position Overview:
We are seeking an organised and proactive Receptionist / Office Administrator to join our team. This role is essential to the smooth operation of our office and provides key support to both the Managing Director and the wider team. The ideal candidate will have prior experience in a similar role and a passion for delivering excellent customer service while keeping the office running efficiently.
Key Responsibilities:
- Customer Service: Provide exceptional customer service by answering incoming calls, directing them appropriately, and ensuring a professional and friendly experience for all clients.
- Email and Web Chat Management: Respond promptly to customer inquiries via email and web chat, maintaining a helpful and professional tone.
- Company Inbox Management: Oversee the company’s email inbox, ensuring messages are prioritised, organised, and actioned as needed.
- Data Entry: Keep accountancy software up to date with accurate data entry, ensuring financial records are current and error-free.
- Credit Control: Follow up on outstanding payments, ensuring timely collection of money owed to the company.
- Task Management: Assist with tasks assigned by management, adapting to an evolving to-do list and ensuring deadlines are met.
- Schedule Management: Organise and manage the Managing Director’s schedule, including coordinating appointments, meetings, and travel arrangements.
- Quote Preparation: Assist in pricing and preparing quotes for clients, ensuring accuracy and competitiveness.
- Research Activities: Conduct research to support business initiatives, including sourcing information or preparing reports.
Qualifications:
- Proven experience in a similar administrative or receptionist role.
- Excellent communication skills, both written and verbal.
- Strong organisational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accountancy or CRM software.
- Ability to multitask and adapt to changing priorities.
- A proactive and positive attitude, with a strong focus on delivering excellent customer service.
Salary:
- £23,000 - £27,000 per annum (depending on experience).

- Customer Satisfaction: Maintain a high level of customer satisfaction through prompt, professional, and friendly communication.
- Data Accuracy: Ensure 100% accuracy in data entry and financial records, supporting smooth business operations.
- Timely Payments: Reduce outstanding payments by ensuring proactive and efficient credit control processes.
- Schedule Efficiency: Ensure 95% adherence to the Managing Director’s schedule, facilitating effective time management and strategic decision-making.
- Task Completion: Consistently complete tasks assigned by management on time and to a high standard.
